Merge Duplicate Member Broker Accounts

Purpose

This article explains when and how to merge duplicate Member Broker accounts that exist under the same office, so agents can consolidate multiple records into a single account and maintain accurate member information

Guidelines 

  1. Review the duplicate accounts and compare production amounts.
  2. Identify the account with the highest production. This will be the primary account to merge into.
  3. Confirm which account has the active agreement on file.
  4. Merge the remaining duplicate account(s) into the primary account.
  5. After the merge is complete, move all production to the correct Member Broker number.

Process

Determine if the Member Broker account is a Main or a Branch.
  1. IF the Account is the Main THEN Click on the SMF icon and select Member Broker Search Panel


  2. Enter the Main Member Number in the appropriate field and click Search


  3. Select the account from the results
    1. Review the account to see if any branches are assigned to the Main.
      1. IF the Main/Branch button is greyed out, no branches are assigned.
      2. Proceed to the Merge Process.



  4. IF the Main/Branch is not greyed out, this is an indication that the Main Office has branches assigned to it.



  5. Click on the Main/Branch button to view all branches assigned to the current Main office.


  6. Verify whether the branch that needs to be merged is assigned to the correct Main office.
    1. IF the branch is assigned to the correct Main office, THEN  proceed to the Merge Process.
    2. IF the Branch is NOT assigned to the correct Main office THEN assign the Branch to the correct Main office.                                         


    Merge Process

    Click on the HMS icon, select CCM Search.


    Search using the Member Broker Number
    1. If the Member Broker number is not available, search using the following options in order (click search after entry).
      1. Main office telephone number
      2. if no result, search by the Main office name
      3. if no results, search by the Main office address
      4. if no results, search by the Broker Name
          

    1. Select the account to be merged
    2. Click on the Cancellation Reason tab
    3. In the Cancellation Reason Code field, click the drop-down arrow
    4. Select Merge W/# 


    1. In the Distb Chnl Merge With field, enter the Member Broker number for the account being kept.
    2. Enter comments in the Comment Field


    1.   Enter comments in both member accounts. 


    NotesExample Comment:  Per email from AE Katie duplicate office .(first initial last name)
