A Main Office is created when the office information is not in TIMX and needs to be added.
1. In TIMX, from the toolbar, click on HMS, select CCM Search
2. Conduct search to verify the Main office is already not enrolled
3. Enter the:
a. Main office telephone number (without spaces, parentheses, or dashes), click Search icon
b. if no result, search by Main office name and state, click Search icon
c. if no result, search by Main office address by entering only the street number and state, click Search icon
d. if no result, search by zip code, click Search icon
4. Retrieve RASL #.
5. If RASL # is not provided, search by zip code to locate other member's RASL #.
6. Look at several active accounts to verify the same RASL #. When there are multiple RASL #'s, confirm with supervisor.
7. Double click on the account
8. Click on the RASL tab, to locate the RASL #.
9. Click on the Add icon, to create new member, select Yes.
10. Click on the Distb Chnl tab.
11. From the PGM drop down arrow, select Basic Membership
12. From the Bus Type, select REB1 (main & branch)
13. From the Franchise tab, when applicable, select the appropriate franchise (Real Living, Remax, Weichert, etc.)
15. Enter information in the appropriate fields. (Company name, Broker name, address, phone, fax, email, etc)
16. Change CCM status to Active
18. From the Acquisition Cost tab:
a. Click Distb Mech Code down arrow, select Bottomline Laser Check
b. Click Distb Acct Descr, down arrow select HMS National
c. Use only payment of acquisition cost?, select No
d. Is Distb Chnl allowed to withhold acquisition cost?, select Yes
e. Are we allowed to deduct cancellations from acquisition payment?, select No
19. Screen will default back to Distb Chnl tab, from the Distb Chnl Type Code, select type Main
20. From the Cross References tab
· If Main, two lines
a. 1st line
· Cross Reference Type Code, select MMBR
· Distb Chnl Associated with, enter 141772111 (click to view/obtain National Account numbers)
· Effective Date, enter appropriate date
b. 2nd line
· Cross Reference Type Code, select AFFCVG (click to view/obtain HMS State List)
· Distb Chnl Associated With, enter appropriate Affiliate number without M (refer to Affiliate list)
· Effective Date, enter appropriate date
21. When creating a new member, an exclusion must be placed on the account if there's no signed WSA (Warranty Sales Agreement) or they do not want to receive the fee.
a. From the Exclusions tab, click on the Acquisition Cost Exclusion Reason Code and select the reason from the menu.

b. Enter the effective date and fill in the comments
c. If the Main office has branch offices reporting to it, then the exclusion should be added to the branches as well.
d. If a signed WSA is sent in after the account has been created, then the exclusion needs to be expired out. To do this, go to the Exclusions tab and enter the expiration date.
e. If the Main office has branches reporting to it, then the exclusion needs to be expired out for all of the branches.
22. From the Comments tab
a. select Comment Title, enter New Member
b. select Comments, enter comments (i.e. per email from AE Katie.... your initials)
23. Save
24. After creating the new Main, notify the AE.
a. Email a screenshot of the account and email it to the AE, copy their RVP and Dan Strayer.
b. Reference the company's name and MB# in the subject line of the email.
c. If the office is not assigned to an AE, then email the account information directly to the RVP (they will be listed on the RASL) and Dan Strayer.
