Salesforce - find, add, and update leads
New Leads
From the Homepage:
- Select your name from the "Recently Viewed" dropdown and be sure to 'pin' it.
- Select the 'filter' icon on the left-hand side of the page (select 'done' as you make each selection)
- Select 'My Leads'
- Select the 'SNAD recruitment.'
- Choose the 'Application Status' - Select 'New' to view all of the new leads that have been added for you or select any other status that you want to search.
- Select the 'State' you are searching for
- Enter the County
- 'Lead Status' - Select 'New' to view all of the new leads that have been added for you, or select any other status that you want to search.
- Select the 'Servicing Trade' you are searching for
- Select the lead you wish to view
- Use the phone number to reach out to the SP
- Copy phone number and place it in CXone and proceed with the script to recruit the new SP
Gather Data
Once SP agrees to receive information from Cinch, update the following:
- Email address
- Initial contact date
- Update the application status
- Verbal - SP agreed to have an application sent to them
- After all notes are entered, send them an email with all requirements.
- Select Activities
- Click on 'Email'
- Choose the third icon at the bottom of the email to pen the email template
- Select Cinch Home Services - onboarding items -HVAC (choose for all trades)
- Enter the person's name
- Scroll to item #6 and update the state licenses according to the trade
- Add extension or phone number at the end of the email
- Copy and paste your signature
- Select send
- Left message - no one answered and left voicemail
- In progress - SP has sent information back (either the application or a document that you need).
- Decline - SP gave you three 'no's'
- Complete - when the SP has completed their training.
- To add notes - select 'Activity History', choose 'Log a Call', and update the comments in the comments box, and save.
- always start with today's date
- enter what happened on the call (i.e., spoke with Stephanie, application sent)
- Once the application is received, you will:
- Log a call and Enter Notes (i.e., <current date>; application received)
- Update the application status to 'In progress'
- Do not change to 'completed' because there are still other documents that need to be received
- For Declined SP's
- Update the application status to 'Declined'
- Every field that has turned RED needs to be completed (decline date and reason)
- For each option selected, it may open other fields that are required to be completed. This will vary by responses selected.
- If SP states 'Do not call', select that sub reason and enter in the notes: <current date> **DO NOT CALL**
Warm Leads
If a lead is sent to you from an area manager on the AM lead list or via email from an admin, you will need to enter the lead into Salesforce.
- You must be in Lead status
- Select New
- Complete all the fields (Company name, owner name, address, servicing county, phone number)
- If no name is given, enter n/a until you get a name
- If no address is given, enter something generic until you get the address
- Enter the 'initial contact date'
- Application status will be 'new'
- Enter description 'Today's date, warm lead from ...'
- Save
- If this is a duplicate entry, you will receive a SNAG, and you can select the name of the company to view the record.
- To search for this lead, either search by application status of 'new' or enter the company name.
