*Prior to enrolling the office into TIMX, you must send office information to your supervisor to get permission to set up the account.
Step 1:
Open TIMX, click on HMS – CCM Search
It is helpful to have at least 3 screens open in TIMX when setting up a new account.
Step 2: Searching TIMX
Search TIMX for the office using the information you have gathered from the agent
Company Name: NextHome Premier Choice
Office Address: 6748 Pecan St, Frisco, TX 75034
Broker Name: Jon Schwerin
Email (either office or Broker email): jon@lucky13realtygroup.com
Office Phone (Main Line): 4692940006 *No spaces, dashes, parentheses
2A. Enter the street number and state and then hit Search. If no results, proceed to step 2B.
2B. Clear previous search, and then enter part of the Company name and state. This will pull up everything in the system that matches those criteria. For this example, our Company name NextHome Premier Choice is not part of the search results.
2C. Clear previous search, and then enter the main phone number for the office without any breaks in the number. Hit search. If no results, you can then conclude that the office is not in the system. At this time, you would send the office information over to your supervisor to get permission to enroll.
Step 3: Finding the RASL
The RASL stands for Region, Area, Sales, Location. This is a code that tells us whose territory this office account is in.
To find the RASL, clear out your CCM Search screen, and enter the zip code for the office you want to enroll.
Look for an Active Main account and open it by double-clicking.
Once account is open, click on the RASL tab.
The RASL code is in the top field (5038). The Area is Texas, the Sales Territory is Victoria Cantu, and the Location is Denton County. Copy and Paste the RASL code into your Sticky Notes to save for later.
It’s important to use the correct RASL code so that the correct AE is assigned. Open a couple of Active Main accounts to verify the RASL information is correct.
*If no accounts appear in the search by the zip code, remove the last digit to broaden your search. If that still yields zero results, you can remove the fourth number. If you are unable to find anything with the zip code, please email clientmgmt@cinchhs.com and I will be able to assist you.
Step 4: Creating the New Main Account
To create a new account, click on the Add button (white page with green plus).
Do you want to create a new Distb Chnl? = Yes
Distb Chnl Tab: Enter the company name into the Name field. Verify that the spelling is correct. If you are using copy & paste, make sure you have grabbed the whole name. Once you have saved, the Company Name can only be changed by your supervisor or the Service Center.
PGM – Select Basic Membership from the drop down.
Bus Type –Select Real Estate Broker from the drop down.
Enter the Broker’s name in both the Contact and Broker Name fields.
Proceed to enter the office address, email, and office phone into the appropriate fields.
RASL Tab: Enter the RASL code you saved from your zip code search, into the top field and hit tab. The fields will auto-fill with the appropriate information. Please make sure that the correct state and AE populate.
Acquisition Cost Setup Tab:
Distb Mech Code = Bottomline Laser Check
Distb Acct Descr = HMS National
Use only for payment of acquisition cost? = N
Is Distb Chnl allowed to withhold acquisition cost? = Y
Are we allowed to deduct cancellations from acquisition payment? = N
Step 5: Attaching the Product to the Main Account
Once you complete the Acquisition Cost Setup, the system will bring you back to the Dist Chnl tab.
Now we need to tie our Main office to the appropriate National Account.
Cross References Tab: from the drop down select REPORTS TO
Enter the National Account Number or select it from the drop down. There are 3 commonly used National account numbers that you will need to choose from:
Cinch Realty National (used for all states except TX and WPA): 141772111
Texas (Cinch Fixd National): 142469343
Cinch Western PA: 142377301
Once the National Account number has been entered, hit tab and it will auto-fill with the Type Code and Name. Enter Today’s date as the Effective Date.
Go to the second line on the Cross References Tab and select Covered By from the drop down.
Type in the State Code from the list and hit tab. The Type Code and Name will auto-fill with the appropriate state information. Enter today’s date as the effective date.
Comments Tab:
Comment Title: what you just did = New Main
Comments: how you got this information. *You must initial your comment
Exclusion Reasons Tab:
There are 4 Exclusion Reasons. When setting up a new office, you will always use the fourth reason, NO MSA/ADDENDUM.
“Activating an ‘Exclusion Reason’ will stop payments from being made to the CCM” - Click OK
Enter today’s date as the Effective Date and put your initials in the Comments. Hit SAVE.
Step 5: Notifying the AE
Once the new Main account has been created, you will need to notify the AE that there is a new account in their territory.
ü Open a new email message and send it to the AE and copy their RVP (you can find this information on the AE Sales Directory).
o Subject: New Main Account – (Copy and paste the Company Name and MB#)
o In the body of the email include a screen grab of the TIMX screen showing the office information
