New Branch Account Setup

Open CCM Search

In TIMX SCM, click HMS then select CCM Search.

It is helpful to have at least 3 screens open in TIMX SCM when setting up a new account.

In one screen, pull up the main account that the branch will be reporting to.

Branch Search

Search TIMX for the office using the information you have gathered from the agent. For this example, we are setting up a branch account for an individual Real Estate Team within BHHS Ambassador.

Example:
  1. Company Name: Omaha Real Estate
  2. Office Address: 331 Village Pointe Plaza, Omaha, NE 68118
  3. Broker Name: Rick Kanne
  4. Email (either office or broker email): No email provided
  5. Office Phone (Main Line): 4026706644 (no spaces, dashes, parenthesis)
DO NOT CREATE A DUPLICATE ACCOUNT!
  1. You must search TIMX SCM thoroughly for the branch to make sure they are not already in the system.
  1. Enter the street number and state, then click Search.
    1. You will see in this example that there is already a branch for BHHS Ambassador at the address we are searching for, however we are going to set up a new branch for this team of agents.
    2. Typically, if you were to search by the office address and find the branch account already exists you would proceed with enrolling the warranty.

  2. If no results display from your search, clear the search, then enter the company name and state. This will pull up everything in the system that matches those criteria.
    1. For this example, nothing comes up from the search.

  3. Clear the previous search. Then enter the main phone number for the office without any breaks in the number, then click Search.
    1. If no results, then you can conclude that the office (in this case, Team) is not in the system.

Finding the RASL

The RASL stands for Region, Area, Sales, Location. This is a code that tells us whose territory this office account is in.
The RASL for the branch may not match the RASL for the main.
To find the RASL:
  1. Clear out the CCM Search screen, then enter the zip code for the office you want to enroll.
  2. Look for an Active Main Account, then open it by double-clicking.

  3. Once the account is open, click the RASL tab.
  4. The RASL code is in the top field (362). The Area is Nebraska, the Sales Territory is Heather Volesky, and the Location is General.

  5. Copy and paste the RASL code into your sticky notes to save for later.
  6. It is important to use the correct RASL code so that the correct AE is assigned. Open a couple of the Active Main Accounts to verify the RASL information is correct.
  7. If no accounts appear in the search by the zip code, remove the last digit to broaden your search.
    1. If that still yields zero results, remove the fourth digit.
    2. If that still yields zero results, email clientmgmt@cinchhs.com to assist.

Create Agent Account

  1. Click the Add button, then click yes on the Do you want to create a new Distb Chnl popup. 

  2. The Distribution Channel Maintenance Screen will display. Enter the company name in the Name field. Verify that the spelling is correct.
    1. If you are using copy and paste, make sure you have grabbed the whole name.
    2. Once you have saved the company name it can only be changed by a supervisor or the service center.
  3. Click the PGM dropdown arrow, select BSC (Basic Membership) on the dropdown menu, then click OK.

  4. Click the Bus Type dropdown arrow, select REB1 (Real Estate Broker) on the dropdown menu, then click OK.

  5. Click the Franchise dropdown arrow, select which Franchise this team is part of, then click OK.
    1. For this example, select BHHS

  6. Enter the Broker’s Name in both the Contact and Broker Name fields.
  7. Enter the Office Address, Email, and Office Phone into the appropriate fields.

  8. Click the RASL tab. Enter the RASL code you saved from your zip code search into the top field and then hit tab on the keyboard.
    1. The fields will auto-fill with the appropriate information. Verify that the correct state and AE populate.

  9. Click the Acquisition Cost Setup tab. Click the Distb Mech Code dropdown arrow, select BTCHECK (Bottomline Laser Check), then click OK.

  10. Click the Distb Acct Descr dropdown arrow, select HMS NATIONAL, then click OK.

  11. Select N for Use only for payment of acquisition cost.
  12. Select Y for Is Distb Chnl allowed to without acquisition cost.
  13. Select N for Are we allowed to deduct cancellations from acquisition payment.

Attach Branch To Main Account

Once the Acquisition Cost Setup is complete, the system will direct you back to the Distb Chnl tab.
  1. Click the Distb Chnl Type Code dropdown arrow, change to BRANCH, then click OK.

  2. Click Yes on the Do You Wish To Save popup.

  3. The Distb Chnl ID will populate, and your name will appear in the Created By field.

  4. Click the Cross References tab.
  5. Click the Cross References Type Code dropdown arrow, select REPORTS TO, then click OK.

  6. Switch to the screen with the Main Account open. Copy the Distb Chnl ID.

  7. Switch back to the screen with the new branch information. Paste the ID in the Distb Chnl Associated With field, then hit tab on the keyboard.
  8. The main account information will automatically populate. Enter the current date in the Effective Date field.

  9. Click the Cross References Type Code dropdown arrow on the next line, select Pay acquisition cost to, then click OK.

  10. Paste the ID in the Distb Chnl Associated With, then hit tab on the keyboard.
  11. Enter the current date in the Effective Date Field.

  12. Click the Comments tab.
  13. In the Comment Title field enter what was done (New Branch).
  14. In the Comments field enter how you obtained this information. Be sure to add your username to the comment.

  15. Click the Exclusion Reason tab. The exclusion on the Branch must match the exclusion on the Main Account.
    1. Open the Main Account and click the Exclusion Reason tab to verify.
    2. If there is no Exclusion Reason on the Main Account, DO NOT put one on the Branch.

  16. Switch back to the branch screen. Click the Acquisition Cost Exclusion Reason Code dropdown arrow, select 001 CCM DOES NOT WISH TO RECEIVE FEE, then click OK.

  17. Click OK on the popup. This will stop all payments being made to this account.

  18. Enter the current date in the Effective Date field.
  19. Enter “See Main #” (paste the main ID#) in the Comments field. You must also enter your username.

  20. Click Yes on the Do You Wish To Save popup.
