When you have the agent on the phone, gather the agent’s name and confirm the spelling. Enter this information in your sticky notes to save for later.
Example:
- Agent Name: Christine Reavis
- Agent Email: creavis@ore.com
An email address is required for every agent account.
Open CCM Search
In TIMX SCM, click HMS then select CCM Search.
It is helpful to have at least 3 screens open in TIMX SCM when setting up a new account.
Agent Search
DO NOT CREATE A DUPLICATE ACCOUNT!
- You must search TIMX SCM thoroughly by the agent’s name to make sure they are not already in the system.
- Enter a portion of the agent’s first name into the Agent’s First Name field.
- For this example, we are searching for Christine which can be shortened to Chris or Christy. Since we don’t know how the agent will appear in the system we would search by the first few letters.
- Next, enter the agent’s last name into the Last Name Field, then click Search.
- The search results will show all accounts that match the criteria entered.
- In this example, there is a Chris Reavis in VA but our agent is in NE.
- Next, enter the agent’s full name in the Name field, then click Search. This will search the system for the name exactly as entered.
- If searching for an agent with a hyphenated last name, you must search both with and without the hyphen and by switching out the last names.
- The search for Christina Reavis didn’t retrieve any results. It is now ok to enroll the agent.
- This is not something you do while the agent is on the phone. Gather all information needed and proceed with the warranty enrollment.
Create Agent Account
- Click the Add button, then click yes on the popup.
- The Distribution Channel Maintenance Screen will display. Enter the agent’s full name into the Name field.
- Click the PGM dropdown arrow, select BSC (Basic Membership) on the dropdown menu, then click OK.
- Click the Bus Type dropdown arrow, select AGT1 (Agent) on the dropdown menu, then click OK.
- In a separate tab, open the office account the agent reports to. Copy the office address.
- Switch back to the tab with the new account and paste the address in the appropriate fields.
- Enter the agent’s email address and phone number (cell or office phone) without any spaces.
- Click the RASL tab. Switch to the tab with the office information and copy the RASL code under the RASL tab.
- Switch back to the tab with the new account and paste the RASL code in the RASL field and hit tab on the keyboard. Make sure all information matches the office.
- Click the Acquisition Cost Setup tab. Click the Distb Mech Code dropdown arrow, select BTCHECK (Bottomline Laser Check), then click OK.
- Click the Distb Acct Descr dropdown arrow, select HMS NATIONAL, then click OK.
- Select N for Use only for payment of acquisition cost.
- Select Y for Is Distb Chnl allowed to without acquisition cost.
- Select N for Are we allowed to deduct cancellations from acquisition payment.
Attach Agent To Office Account
Once the Acquisition Cost Setup is complete, the system will direct you back to the Distb Chnl tab.
- Click the Distb Chnl Type Code dropdown arrow, change to AGENT, then click OK.
- Click Yes on the Do You Wish To Save popup.
- Click the CCM Status dropdown arrow, then select Active.
- Click the Cross References tab.
- Click the Cross References Type Code dropdown arrow, select REPORTS TO, then click OK.
- Switch to the tab with the office information. Copy the Distb Chnl ID.
- Switch back to the tab with the new account information. Paste the ID in the Distb Chnl Associated With field, then hit tab on the keyboard.
- The office information will automatically populate. Enter the current date in the Effective Date field.
- Click the Comments tab.
- In the Comment Title field enter what was done (New Agent).
- In the Comments field enter how you obtained this information. Be sure to add your username to the comment.
- Click Yes on the Do You Wish To Save popup.
